Business Visit Support Model refers to a service that provides on-the-ground assistance and accompaniment for clients who come to China for business purposes throughout their entire trip. It covers the preparation stage before departure, business visits, factory inspections, and travel arrangements during the stay in China, as well as limited follow-up support after departure.
The service can be flexibly adjusted based on the client’s actual needs. It can focus purely on business-related arrangements, or include sightseeing and travel planning alongside business activities.

Before making any travel arrangements, we usually start with a discussion to better understand the purpose of the trip and the type of support the client may need during their visit to China.
If the client has specific sourcing needs, we will first confirm the product type, basic requirements, and any information the client may already have. Based on this, we can help identify potentially suitable suppliers and organize basic information into a supplier list for the client to review and choose from. For suppliers that are initially selected, we can also assist with basic checks, such as company authenticity, basic qualifications, and whether there are any obvious concerns, helping clients gain a clearer initial understanding of the supplier.
Once the supplier direction becomes clearer, we will also discuss which suppliers or factories the client plans to visit and collect relevant information in advance to help arrange the business visit schedule more smoothly.
At the same time, we will confirm whether the client would also like to include sightseeing or travel during the trip. If so, we can discuss the overall travel schedule, cities to visit, and how to coordinate both business and travel plans in a way that works best for the client.
Passport Preparation
A passport is one of the most important documents for international travel. It is usually required for visa applications, international flights, entry into China, and many other parts of the trip.
For people involved in business, having a passport is often already part of basic travel preparation. Many business owners regularly travel for factory visits, trade shows, business meetings, or market research, so in most cases, they already hold a valid passport.
At the same time, some clients may be in the early stages of starting a business and may not have had previous overseas travel needs. In such cases, if travel to China becomes necessary for business purposes, a passport will need to be prepared in advance. Where needed, we can also provide general guidance based on the client’s country, helping them better understand the application direction, estimated processing time, and how much time should be set aside before making travel plans.
Passport applications are usually handled through the government department responsible for passport services in your country. The process and requirements may vary depending on where you live. In most cases, you will need basic identification documents, passport photos that meet local requirements, and a passport application form. Some countries may also ask for additional documents, such as proof of address, birth certificates, or name change documents if applicable. In many places, first-time applicants are required to apply in person for identity verification, and some countries may also collect fingerprints or other biometric information. Since requirements vary from country to country, we can also help clients look into and organize general passport application information based on their country, such as application channels, common document requirements, estimated processing times, and related fees. If you already have a passport, it is also important to check its remaining validity period. In most cases, it is recommended that the passport remain valid for at least six months, as many countries have minimum validity requirements for visa applications and entry. If the remaining validity is too short, it may affect later visa applications or overall travel arrangements. For this reason, during the early discussion stage, we also help clients confirm whether their passport validity is sufficient, so that any issues can be identified as early as possible.
Visa Application
A visa is required before entering China. Some clients may include sightseeing or free time in their itinerary, but when the main purpose of the trip involves factory visits, supplier meetings, business discussions, trade shows, or other work-related activities, a business visa is generally required rather than a tourist visa.
Visa requirements vary depending on nationality, purpose of visit, and local policies. In most cases, clients need to prepare a valid passport, a completed application form, passport photos that meet official requirements, and invitation letters issued by Chinese companies, factories, partners, exhibition organizers, or relevant institutions depending on the visit plan. In some cases, additional documents such as travel itinerary, accommodation details, or round-trip flight information may also be required.
Applications are usually submitted through Chinese embassies or consulates, visa application centers, or designated agencies in the client's country. In some regions, the process can start online before booking an appointment for document submission. In other cases, in-person submission or biometric data collection may be required.
Due to differences in requirements across countries and consulates, we can also assist clients by reviewing their travel plans, helping clarify the appropriate visa direction, and organizing the required information and supporting documents. We also provide coordination support regarding invitation-related matters where applicable. In addition, we help clients understand the overall application timeline and preparation schedule, ensuring the visa process aligns smoothly with the overall travel plan and reducing unnecessary delays or uncertainty.
Flight Booking
In business travel, whether employees are sent on business trips by their company or business owners travel in person, flight arrangements are generally quite flexible, with no fixed or standardized booking method. In practice, flights may either be booked and paid for by the client's company, or booked independently by the client and later reimbursed.
In the latter case, clients can decide how they would like to handle their flight booking based on their own preferences and circumstances. They may book the flights themselves or choose to have us assist if needed.
If assistance is needed, once the travel dates, departure city, arrival city, and overall itinerary are confirmed, we can help shortlist suitable flight options and carry out basic searches and price comparisons across different channels for the client's reference.
When selecting flights, some clients may have concerns about arriving in China at night, such as safety considerations or whether late-night arrival may make onward travel inconvenient. However, China's international airports operate around the clock with well-established transport connections, and we also provide airport pickup services. As a result, there is generally no need to worry too much about arrival times, as onward arrangements can usually be handled smoothly.
In most cases, we also recommend choosing round-trip tickets, as this usually makes the overall travel schedule and visa planning clearer and easier to manage. When booking flights, it is also important to carefully check personal information, such as name spelling and passport number, to ensure they match the travel documents exactly and avoid unnecessary issues with boarding or later travel arrangements.
Insurance Purchase
Although the primary purpose of the trip may be business, most business trips are generally well-organized and proceed smoothly, with schedules and arrangements that are usually more predictable than leisure travel. However, regardless of the purpose of travel, purchasing suitable insurance is generally worth considering when visiting another country. No one can completely guarantee that unexpected situations will not occur. In the event of unforeseen circumstances, such as illness, accidental injury, flight delays, lost luggage, or other unexpected issues, insurance can help reduce additional financial burdens and ease some of the stress involved in handling such situations.
When purchasing insurance, it is generally recommended to make a reasonable choice based on the travel itinerary, length of stay, and actual needs, in order to obtain coverage that better suits individual circumstances.
Insurance coverage, claim conditions, and policy details may vary depending on the country and insurance provider. Some plans focus more on medical coverage, while others may also include protection for flight delays, lost luggage, accidents, and related situations. Therefore, it is advisable to review whether the coverage meets actual needs before purchasing and to pay attention to the relevant terms and scope of protection.
If needed, we can also assist based on the client's travel plans by helping identify the key areas of coverage that are generally worth paying attention to and helping shortlist insurance options that may better suit practical needs, for the client's own reference and selection.
Luggage Preparation
Before packing, it is important to remember that the primary purpose of this trip is still business. Therefore, when preparing luggage, we recommend prioritizing items that are genuinely needed for your business itinerary, and then preparing other personal or travel-related necessities based on your own circumstances.
For the business portion of the trip, it is generally advisable to prepare clothing suitable for your planned business activities, as well as items that may be needed during business meetings, factory visits, trade shows, or similar arrangements. These may include a laptop, chargers, power bank, travel adapter, business cards, documents, product information, note-taking materials, and any other equipment or materials relevant to your work schedule.
Once business-related items have been prepared, you can then pack daily clothing, toiletries, payment methods, commonly used medications, and other personal items that may be needed during sightseeing or city activities, depending on your habits and length of stay.
As weather conditions can vary significantly between different cities in China, especially for itineraries involving multiple destinations, temperatures and climate conditions may differ considerably even during the same period. Therefore, based on the cities and travel dates included in the client's itinerary, we usually provide basic weather information and clothing suggestions to help clients prepare their luggage more appropriately.
In addition, important documents are best organized together and placed somewhere easily accessible. These may include your passport, visa, flight itinerary, hotel reservation details, invitation letter, identification documents, and any other materials that may need to be presented during boarding, immigration, or hotel check-in. Keeping these items together can make security checks, check-in procedures, and border clearance more convenient and efficient.
At the same time, it is also advisable to review airline and customs regulations regarding luggage and restricted items in advance, in order to avoid carrying prohibited or restricted goods that may affect boarding, entry procedures, or later travel arrangements. If you are unsure whether certain items can be carried, you may check directly with your airline in advance or contact us at any time, and we will do our best to provide assistance service.
Departure and Boarding
After completing the necessary preparations, the trip officially enters the departure stage.
Before heading to the airport, it is recommended to double-check that all important documents and personal belongings have been packed, such as your passport, visa, flight information, wallet, mobile phone, charging devices, as well as any important documents or materials needed for business purposes. This helps avoid discovering missing items only after arriving at the airport.
On the day of departure, it is important to check the flight status and check-in time in advance to avoid disruptions caused by last-minute changes. For international flights, arriving at the airport 2–3 hours early is generally recommended, allowing sufficient time for check-in, baggage drop, security screening, and departure procedures. Since airport processes and efficiency may vary between countries and airports, arriving slightly earlier can usually help reduce unnecessary time pressure.
When arriving at the airport, clients will typically need to complete check-in either at the airline counter or through self-service kiosks, collect a boarding pass, and confirm seat information. If checked baggage is required, it can usually be handled during check-in, where airline staff will verify baggage size and weight according to airline regulations and attach baggage tags.
After check-in, clients will generally proceed through security screening, where passports and boarding passes may need to be presented, and carry-on items such as electronic devices or liquids may need to be removed separately for inspection. For international flights, departure immigration procedures are usually required after security screening. Following airport guidance, clients can proceed to the immigration area and present their passport, visa, and any required documents for departure clearance.
Once all procedures are completed, clients may proceed to the designated boarding gate according to the information shown on the boarding pass and wait for boarding. During this time, it is important to pay attention to airport announcements and flight updates in case of any gate changes or schedule adjustments.
Before boarding, clients may also send us a brief message or email to let us know that the journey has officially begun. This helps both sides stay aligned on the travel schedule and allows us to better prepare for airport pickup and subsequent itinerary arrangements.
Immigration Procedures
After arriving in China, the next step is immigration. For first-time visitors, the process may feel unfamiliar at first, but in most cases it is quite straightforward as long as the required documents are prepared in advance and the steps are followed one by one.
After getting off the plane, simply follow the airport signs to the “Immigration” area. Most international airports in China provide self-service kiosks for completing the arrival card. You only need to follow the instructions on the screen and enter basic information such as your name, passport details, flight number, and address of stay in China. Once completed, the arrival card can be printed and signed.
After that, fingerprint and facial information usually need to be recorded at a nearby biometric collection station. This is a standard immigration procedure in China used for identity verification and entry records, so there is no need to worry. Just follow the instructions provided at the airport.
Once these steps are completed, you can proceed to the immigration checkpoint and queue for entry clearance. Immigration officers will usually ask to see your passport, valid visa, and signed arrival card. In some cases, they may also ask a few basic questions about your trip, such as the purpose of your visit, how long you will stay, where you will stay, or your return plans.
For clients visiting China through the Business Visit Support Model, the trip will usually involve business-related activities. If asked, simply explain the purpose of the visit honestly, such as business meetings, factory visits, trade shows, cooperation discussions, or market research, while ensuring the explanation matches the visa type and actual travel plan.
Immigration officers may also occasionally ask to see supporting documents, such as an invitation letter, hotel booking details, or return flight information. For convenience, it is recommended to keep these documents organized and easy to access.
After clearing immigration, you can proceed to baggage claim to collect checked luggage, followed by customs inspection before officially entering China. Customs officers may occasionally conduct random inspections of luggage or personal belongings, so it is also a good idea to check airline and customs regulations in advance, especially regarding cash amounts, electronic devices, or restricted items.
If you are unfamiliar with the immigration process, there is no need to worry too much. Before departure, we will usually provide basic entry information and important reminders to help you better understand the overall process in advance.
Airport Pickup Arrangement
For clients visiting China for the first time, arriving in a completely unfamiliar environment may naturally come with some uncertainty. For example, clients may not be familiar with airport routes, may be unsure how to get to the hotel, may have concerns about language communication or local payment methods, or simply may not know how to continue with transportation after arrival. In such situations, airport pickup can be a practical option to help reduce uncertainty and make the transition after arrival smoother.
Of course, airport pickup is not something every client necessarily needs, and arrangements can be made flexibly based on individual circumstances. For example, some clients may already have arrangements in place with factories or business partners before arriving in China and plan to go directly to a factory or business meeting upon arrival. In such cases, transportation can be coordinated directly with the other party, and there may be no need to use our pickup service. This is quite common for clients with only a single business visit.
On the other hand, if clients have multiple business visits planned, or would prefer to first settle into a hotel and adjust before starting business activities, arranging airport pickup may be a more suitable option to help ensure a smooth transfer from the airport to the accommodation.
Depending on the client's situation, arrival city, and overall itinerary, we can provide different forms of pickup assistance. In some cases, airport pickup may be arranged by company vehicle. If public transportation is more suitable, we can also assist clients in continuing their journey through ride-hailing services, taxis, airport buses, metro systems, or high-speed rail, while also providing guidance and accompaniment if needed.
Whether arriving during the day or late at night, there is generally no need to worry too much about onward transportation. Airports in China usually have well-developed transport connections operating throughout the day, with many services continuing until the final flight arrival. In addition, if clients choose our pickup service, we will also make arrangements based on the actual arrival time to help ensure a smoother transfer to the next destination.
Before departure, we will usually confirm flight details, arrival time, pickup location, and accommodation arrangements in advance, helping reduce uncertainty caused by temporary communication issues or unclear information, so clients can begin their business trip more smoothly after arrival.
Accommodation Arrangement
The Business Visit Support Model itself is designed to help coordinate the many practical aspects involved in a client’s business trip, including accommodation, internet access, transportation, business activities, communication and interpretation, as well as overall itinerary coordination.
Under the Business Visit Support Model, we generally prefer to leave accommodation arrangements to the client's own preference. In business travel, companies often provide a certain accommodation budget. Whether the stay is arranged and paid for by the company or booked independently and reimbursed later, clients usually have considerable flexibility in choosing an accommodation option that feels comfortable and offers good value within their budget, helping them maintain a better level of rest during the trip.
The quality of rest can be an important part of business travel, as it may directly affect energy levels and overall efficiency during business meetings, factory visits, trade shows, and travel between cities.
Although we also have our own directly supplied accommodation resources as a travel service provider, we do not actively promote them within the Business Visit Support Model. This is because our accommodation resources are primarily designed for general travelers visiting China with more budget-conscious needs. Through direct pricing, we are able to offer more stable and cost-effective accommodation options while reducing the impact of factors such as peak and off-peak seasons, location differences, trade events, holidays, and market fluctuations, helping keep overall travel arrangements and budgets more manageable.
For this reason, clients in this model are free to arrange accommodation based on their own preferences and habits. Clients with prior business travel experience may already have preferred hotel brands, budget ranges, or accommodation standards, and can naturally continue with their usual arrangements.
Of course, if assistance is needed, after confirming the overall itinerary, visit locations, length of stay, and city planning, we can also help shortlist more suitable accommodation options. Recommendations may be made based on factors such as proximity to business visits, transport convenience, hotel environment, budget range, and onward travel arrangements for the client's reference.
For clients with multiple business visits or travel between different cities, accommodation location may sometimes affect overall efficiency. For example, some may prefer to stay closer to factories or meeting locations, while others may prioritize transport convenience for easier movement between cities. Each option has its own advantages depending on the itinerary. Therefore, in actual planning, we usually provide some basic suggestions and coordination based on the overall travel plan.
In addition to hotels, if clients have other accommodation preferences, we can also assist in arranging suitable options depending on the situation. Regardless of the type of accommodation chosen, we usually confirm check-in time, address details, and onward transport arrangements in advance to help ensure a smoother overall experience.
As for sightseeing outside of business activities, accommodation location generally does not have a major impact. Since sightseeing is generally arranged around the business schedule, we tend to provide flexible arrangements that fit naturally alongside the client's business itinerary, without affecting the priority of business activities.
Internet Arrangement
During your time in China, a stable internet connection is usually an important basic arrangement. Whether for business communication, map navigation, contacting factories or business partners, searching for information, ride-hailing, translation, or everyday payment and itinerary coordination, many activities rely on mobile internet access. Therefore, after arriving and settling in, completing internet setup as soon as possible will usually help make the overall business trip run more smoothly. We will also provide assistance where needed to help clients get connected more quickly.
Common internet options generally include activating international roaming, purchasing an eSIM or physical SIM card that can be used in China before departure, obtaining a local SIM card after arrival, or using the portable WiFi we provide. Each option has its own differences in cost, convenience, network stability, and suitability depending on the length of stay.
International roaming does not require changing SIM cards and allows clients to continue receiving messages and making international calls. However, it is usually more expensive, with network speed and stability often being relatively average, making it more suitable as a backup or emergency option.
eSIM does not require a physical card and can be activated entirely online, allowing clients to directly purchase a China data package. It is convenient to use, although some older phone models may not support it.
A local China SIM card generally offers better value for money, with stable internet access, sufficient data, and compatibility with various local lifestyle and business applications. However, it requires real-name registration and is more commonly used by international students and foreigners living in China for extended periods.
Portable WiFi can support multiple devices at the same time, making it suitable for team use. It is compatible with all phone models, can generally last for extended periods after charging, and is also relatively convenient to carry.
Based on the characteristics of each option, we generally recommend two practical solutions. The first is activating a basic international roaming package for receiving text messages, important notifications, and emergency communication, while using the portable WiFi we provide to cover most internet needs during the trip. The second option is activating an eSIM and purchasing a China data package in advance, which is highly convenient and, in many cases, may even remove the need to rely on portable WiFi. These two approaches are also among the more widely accepted and cost-effective options for most clients.
Throughout the trip, we will generally provide portable WiFi for client use, including during the journey from the airport to the hotel after arrival, as well as during business visits, factory inspections, trade shows, or sightseeing activities. Since the trip will naturally involve movement between different locations, we also try to ensure clients can maintain a basic internet connection in different situations.
In addition, China's internet environment differs somewhat from that of some other countries, and certain commonly used overseas websites, applications, or services may not function normally in China. In such cases, access may require third-party paid network services such as a VPN. We generally recommend to get to know and prepare in advance, complete registration, purchase and testing to avoid affecting the subsequent work arrangements.
Itinerary Arrangement
The itinerary arrangement is the most important part of the Business Visit Support Mode. Since the main purpose of visiting China is usually business-related, the overall itinerary is generally planned with business activities as the priority and arranged around the client's actual business needs.
Different clients visit China for different purposes. Some come to visit factories, some to evaluate suppliers, some for business meetings, some to attend trade shows, while others come for product sourcing or direct purchasing. Therefore, before the trip, we usually spend time understanding the client’s needs and overall situation, then plan and coordinate the itinerary accordingly.
This usually includes arranging the order of visit locations, scheduling, city sequence, length of stay, and the connection between different business activities. We also provide practical support based on the client’s needs, such as transportation arrangements, dining coordination, basic communication and interpretation assistance, as well as accompaniment for factory visits, company meetings, client visits, or trade show attendance.
Our communication and interpretation support is mainly focused on basic communication, on-site assistance, and itinerary coordination. We generally do not participate directly in business decisions or commercial negotiations between parties. However, during visits and meetings, based on our familiarity with the local environment, communication styles, and on-site situations, we may sometimes help clients notice details that are easy to overlook and provide objective observations or reminders afterward, helping clients gain a more complete understanding of the overall situation.
For clients who would also like some sightseeing experiences, we can flexibly arrange them around the pace of the business itinerary. For example, local experiences or light sightseeing activities may be arranged during free time after business meetings, between city transfers, or after trade shows. However, sightseeing is generally treated as a complementary part of the trip, and we usually arrange it around the business schedule rather than allowing it to affect the priority of business activities.
Transportation Arrangement
During the client's stay in China, we provide accompaniment and transportation guidance throughout the entire itinerary. Transportation arrangements are part of nearly every stage of the trip, including travel between hotels and business locations, factory or supplier visits, trade show attendance, and intercity travel.
In practice, transportation is arranged based on the daily schedule and adjusted as needed. In some cases, a company business vehicle will be used for pick-up and accompaniment. When a business vehicle is not used, we assist clients with local transportation options such as ride-hailing services (e.g., Didi), taxis, metro systems, or buses. We also accompany clients during the journey and provide support with routes, transfers, navigation, and moving between locations to ensure each part of the journey runs smoothly.
For intercity travel, such as factory visits or trade show arrangements across different cities, high-speed trains or flights are generally selected depending on distance and timing. We also assist with ticket confirmation in advance and coordinate transfers between hotels, train stations, and airports.
Throughout the trip, we stay with the client and help coordinate each stage of transportation, ensuring smooth transitions between locations and different transport methods, so clients do not need to manage unfamiliar local transportation arrangements on their own.
Dining Arrangement
Under the Business Visit Support Model, clients'schedules in China may involve factory visits, supplier evaluations, client meetings, business discussions, trade show attendance, as well as sightseeing or local experiences. As a result, dining arrangements may vary at different stages of the trip.
If the day involves factory visits, client meetings, or communication with business partners, in some cases the host party may arrange reception meals or business dining as part of the business interaction.In these situations, meal arrangements usually follow the business agenda.
If there are no specific business dining arrangements, we may recommend suitable restaurants, local specialties, or convenient meal options based on the client's city, location, and daily schedule. For clients visiting China for the first time, we also try to take into account dietary habits, taste preferences, and familiarity with local food styles in order to recommend meal options that better suit individual needs and help avoid discomfort caused by unfamiliar dining environments.
If the itinerary includes sightseeing or city exploration, we may also recommend suitable meal options along or near the planned route, helping dining arrangements fit more naturally into the pace of the day.
If clients have any special dietary requirements, such as religious dietary preferences, food restrictions, allergies, dietary limitations related to medication, or personal taste preferences, we also recommend informing us in advance. We will do our best to help coordinate suitable meal arrangements and avoid potential dietary issues, so clients can dine more comfortably and conveniently during their stay in China.
Overall, dining arrangements are generally handled flexibly around the day's actual schedule. Our role is mainly to help clients maintain a practical balance between business activities and daily experiences, making meals throughout the trip more convenient, smooth, and suitable to their actual needs.
Return Arrangement
At the end of the business trip, return arrangements can be made flexibly based on the client's actual needs and preferences. For clients who would like airport drop-off assistance, we can provide support to help ensure a smoother connection for the return journey.
In practice, in some cases, a company business vehicle may be arranged to take the client to the airport. When public transportation is more suitable, we may also accompany the client to the airport using local transport options such as ride-hailing services, taxis, metro systems, airport rail connections, or other appropriate methods, while providing route guidance, transfer assistance, and on-site support.
For some clients, after spending time in China during the business trip, they may already have become familiar with local transportation systems, ride-hailing apps, and basic travel arrangements. Before departure, we also usually help reconfirm flight times, departure terminals, travel timing, and transportation connections in order to reduce inconvenience caused by scheduling issues or unclear information, helping make the overall return journey smoother.
Post-Trip Business Follow-up Support
For some clients, after completing factory visits, supplier evaluations, business meetings, or product confirmations during their stay in China, there may still be ongoing needs such as order follow-up, production progress tracking, shipment arrangements, and continued communication with suppliers. In such cases, after the client returns from China, we can also provide a certain level of post-trip business assistance based on actual requirements.
For example, we may assist with basic production follow-up and communication, helping to check order progress, production status, and whether the manufacturing process is proceeding as scheduled, as well as confirming key information when needed. This can help reduce communication barriers caused by language differences, time zones, or efficiency issues.
For shipment-related matters, we may also assist in coordinating basic updates such as shipping progress, packaging status, logistics milestones, or communication with the factory regarding delivery arrangements, helping clients maintain a clearer understanding of overall progress.
In addition, during the cooperation process, clients may occasionally require support with ad-hoc matters, such as reconfirming product details, re-communicating certain requirements with suppliers, arranging additional visits, or handling other locally related coordination tasks. Within a reasonable scope, we will do our best to provide assistance based on the actual situation.
It should be noted that our post-trip support is mainly focused on coordination, communication, and information facilitation. We do not directly participate in commercial decision-making, contractual responsibilities, or financial arrangements between parties. Our role is primarily to help reduce communication costs and ensure smoother progress in cross-border cooperation.
